The Leasing Assistant, under the direction of the Property Manager, is responsible for assisting in the sales process from start to finish, providing administrative support to the leasing team, and assisting in Resident events. This person will also provide concierge services at the desk two days out of each week. A successful Leasing Assistant must demonstrate strong customer service, organizational, administrative, multi-tasking and communication skills.  The position requires flexibility of work schedule an

Responsibilities

  • Promote a quality living environment for Residents and positive experiences for Residents, prospective Residents, and others at The Swift
  • Foster appropriate communication with members of the team, Residents and the public
  • Professionally greet prospective Residents, current Residents, and Guests
  • Answer and direct telephone inquiries pleasantly and professionally and set appointments whenever possible
  • Process lease applications and qualify prospective Residents based on approved lease criteria
  • Conduct follow-up with prospective and current Residents
  • Maintain current knowledge of surrounding community for the benefit of prospective and current Residents
  • Maintain current knowledge of competitor’s properties
  • Participate in and prepare for promotional events
  • Assist in maintenance of the Market Survey
  • Support Property Manager with general office maintenance by answering phones and performing other administrative tasks, including but not limited to maintaining complete resident files, general office files, and ordering office supplies as directed
  • Assist leasing team, when needed
  • Resolve all Resident related issues, complaints and requests in a timely manner
  • Uphold Fair Housing requirements
  • Assist in coordinating Resident events including attendance at most resident events, set up and clean up
  • Maintain and adhere to all Polinger Company policies and procedures
  • Be proactive, think outside the box and react quickly and appropriately to situations that require immediate action and communicate timely with your Manager 

Qualifications

  • Minimum 3 years experience in customer service environment
  • Previous experience working at a Class-A property preferred
  • Previous experience in residential community setting preferred
  • Proven customer service skills (in a Hospitality/Retail, etc. environment)
  • Computer proficiency and knowledge of Microsoft Office Suite (Word, Excel, Outlook)
  • Proficiency in Yardi is preferred
  • Familiarity with posting to Craig’s List and Social Media sites including, but not limited to, Facebook, Twitter, Instagram, etc.
  • Proficient knowledge of Fair Housing requirements
  • Excellent organizational skills; ability to prioritize tasks, multitask, delegate
  • Excellent verbal and written communication skills (in English) and ability to interact with customers and teammates in a professional manner
  • Ability to read and interpret documents and ability to author reports
  • Ability to conduct oneself in a professional manner and to effectively communicate with all levels of management
  • The ability to multi-task and maintain a professional appearance is a must
  • Must be a motivated self-starter with the ability to work well in a team setting
  • Flexibility of work schedule is necessary. The position requires work every Saturday and Sunday with time off during the week.  Occasional evening work is necessary.
